Terms of Service
Effective October 2, 2026
1. Agreement
These Terms govern your use of Workrota (the “Service”), a staff scheduling product operated by Drepyn LLC, an Illinois limited liability company (“Drepyn”, “we”, “us”). By creating an account, joining a workspace, or using the Service you agree to these Terms and to our Privacy Policy. If you use Workrota on behalf of a business, you confirm you have the authority to accept these Terms for it. If you don’t agree, don’t use the Service.
2. The Service and your workspace
Workrota is used by hospitality businesses. Each business has a workspace. A workspace’s owners create it, invite their team, set permissions, and decide how it is used. Staff and managers use Workrota because their employer set them up. Each person is responsible for their own account and for keeping their sign-in details secure.
Workspace owners are responsible for their team’s use of the Service, and for complying with the employment, scheduling, wage and tax laws that apply to their business. Workrota is a tool, not legal or tax advice, and its suggestions — including AI-assisted draft schedules — are drafts for a person to review before they’re published.
3. Free trial
A new workspace starts with a 30-day free trial. No credit card is needed to start. Before the trial ends, an owner can choose a plan. If no plan is chosen, there is a short grace period (currently 7 days), after which the workspace is limited until an owner chooses a plan. Nothing is deleted when a workspace is limited: your schedules, team and history stay exactly as they are, and anyone can still sign out, switch to another workspace, or delete their own account.
4. Plans, prices and payment
Paid plans are per workspace (not per person). There are two plans, based on team size: Standard for up to 50 active team members, and Large for more than 50. Each is available billed monthly or yearly. The current plans and prices are shown on the Billing page in the app and at checkout, before you pay. Everything in the product is included in both plans.
Prices are shown before sales tax. Where tax applies to your purchase, it is calculated at checkout from your billing address and shown before you pay, and it appears on your invoice.
Payments are processed by Stripe. Your card details go directly to Stripe and never touch our servers. By subscribing you authorize us, through Stripe, to charge your payment method each billing period until you cancel. If a payment fails, Stripe will retry it; if it ultimately can’t be collected, the subscription ends and the workspace is limited until a plan is chosen again. We may change our prices; we’ll give you at least 30 days’ notice, and a change takes effect at your next renewal.
5. Renewal and cancellation
Subscriptions renew automatically at the end of each billing period. An owner can cancel at any time from Settings → Billing & plan → Manage billing (or by emailing support@workrota.app). Cancelling takes effect at the end of the period you’ve already paid for, and you keep full access until then. After that the workspace is limited, and your data is kept so you can pick up where you left off if you come back.
6. Refunds
Monthly plansare not refundable. Cancel any time to stop future charges; you keep access through the end of the month you’ve paid for.
Yearly plans:if you cancel a yearly plan, you can ask for a refund of the unused part of the year you’ve paid for. Email support@workrota.appfrom an owner’s email address. We review each request. If it’s approved, we refund the unused portion — calculated by time, from the date of your request to the end of the paid year — to your original payment method, including the matching share of any sales tax you paid. When a refund is issued, the plan ends, and the workspace is limited from that point.
Nothing in this section limits any right you have under applicable law.
7. Acceptable use
Don’t use the Service to break the law, harass or discriminate against anyone, send spam, or misuse messaging features. Don’t try to break, probe or overload the Service or its security, scrape it, resell access, or share your account with someone who isn’t you. Only add people to a workspace who work there or have been authorized to see its information.
8. Your content and data
You (and your workspace) own what you put into Workrota — schedules, messages, availability and so on. You give us permission to host, process and display it to operate the Service for you. Your workspace’s owners control much of this data. How we handle personal information is described in our Privacy Policy. Text messages follow our SMS Terms. You can delete your account at any time in Settings.
9. Third-party services
Workrota works with other services, such as Stripe (payments), Google (if an owner connects a calendar), Twilio (text messages), and Apple and Google (app stores and notifications). Their own terms apply to your use of them.
10. Suspension and termination
You can stop using Workrota at any time. We may suspend or end access to a workspace or account that violates these Terms or puts the Service or other people at risk. If we do, we’ll tell you why where we reasonably can. Sections that by their nature should survive termination (such as payment obligations, disclaimers and limits of liability) do.
11. Disclaimers
The Service is provided “as is” and “as available.” We work hard to keep it reliable, but we don’t promise it will be uninterrupted or error-free, and we don’t guarantee that any schedule, forecast or AI-assisted suggestion is correct or compliant with the law. You’re responsible for checking what you publish.
12. Limits of liability
To the fullest extent the law allows, Drepyn is not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, arising from your use of the Service. Our total liability for any claim relating to the Service is limited to the amount you paid us in the 12 months before the claim (or $100 if you haven’t paid us anything). Some places don’t allow certain limits, so parts of this may not apply to you.
13. Changes to these Terms
We may update these Terms. If a change is material we’ll tell you in the app or by email before it takes effect. If you keep using the Service after a change takes effect, you accept it.
14. Governing law
These Terms are governed by the laws of the State of Illinois, without regard to its conflict-of-law rules. Any dispute will be brought in the state or federal courts located in Illinois, and you and we consent to their jurisdiction.
